Advanced Search smartermail 16
Question asked by Matthew Shepard - 6/6/2017 at 4:45 PM

Has the advanced search feature been removed in smartermail 16? If so, is there any way to search for an e-mail without needing to know which folder it is in?

Bump - does anyone know where the Advanced Search function is in the new SM16 web interface?

I sure hope so, used it a lot, although it never was real reliable if you had a large mailbox.

Does anyone at SmarterTools have an answer to this question? It should be a simple yes/no + if there are any plans to bring it back or not.

Info would be very useful.

Thank you!

I made a ticket about this and got the below response. I think they want to wait to do any feature implementations until the next major release (16.1) and keep working on bugs until that is ready. It is hopeful that we may see it come back.

"The advanced search functionality has been removed, however due to customer feedback we're re-evaluating the search situation for smartermail 16.1. Unfortunately, I do not have a way for your users to search for messages across all folders within the web interface at this time, I have passed your feedback along to our smartermail dev team so we can keep your use case in mind when the advanced search functionality is re-evaluated."

It appears to me (and others who maintain many more SM installations than I) that v16 is still not ready for enterprise deployment. The advanced search feature alone is a necessity. We use it all the time here - many would be lost without it. Why, if SmarterMail indexes all mail anyway, can't a user search their entire email store?

And UI + speed issues with v16 are widely reported. Just saw notes today that a major source of slowdown was fixed. Hopefully a step in the right direction!

Its coming. We did not like how it was implemented in v15. We have some optimizations and improvements we made in the indexing and wanted to give the UI aspects an overhaul.

do you have an expected delivery date for reinstatement of advanced search. Like many other users, this function is critical to our business.

How can I search for items in SmarterMail 16.x? I know that the global search function like in the earlier releases isn't available yet. When will this important feature be available again?

Is there a search function in one folder or isn't it possible to search for items in SmarterMail yet? If there's no search function available I have to wait before taking SmarterMail 16 productive.

Not available yet in 16. I think the best thing is to stay with 15 (or older) version if it's working for you.

It is possible to search in the folder you are in; and there are separate search fields in contacts, notes, ect. What is missing in the current version of 16 is the ability to search across all folders at once. If you know which folder your e-mail is in, you can search in the folder and find it. However, if you don't know which folder the e-mail you want is in; you can't search for it except for searching for in inside every folder one-by-one. So it does have searching, just not global or advanced search.

With the latest release there is an advanced search available (click on folder icon at the bottom). Thank you very much to SmarterTools for implementing.

It works but it's slow comparing to the search in SmarterMail 15.x and earlier and you can't open a mail from the result list by double clicking the items - you have to select it, scroll up and click on the Open button. This isn't very user friendly and I think that a search should be accessible at a more prominent place because it's a often used function.

We have been waiting breathlessly for this feature since we updated to V16 and from our observation, you can double-click on one of the results to open that email (tested in latest Google Chrome browser).

However, the following issues exist:

- indeed, search is painfully slow - much, much slower than it was in SM 15. It`s almost so slow that it`s easier to find the item by browsing each folder in the mailbox manually and searching there.. It behaves the same, even if the criteria will find you 5 emails, 25 or 1500 emails.. It`s obvious that when using the Adv Search function the CPU usage for the MailService.exe service on the server increases, but it never exceeds 25-30% usage, so that is not a problem. Also, there is plenty of RAM and storage is SSD, so why is it so slow? Can it maybe be improved by running Search in a different process on the server?

- the Adv. Search function is an important tool for anyone that uses mail heavily, but this is not easily accessible if it`s hidden the way it is right now. This function should have a dedicated button, easily visible and accessible on the main email view of WebMail.

- since in order to search for something you need to add a search string anyway, why not just have a field that says directly: "Search String" so the person can simply add the search string and hit the search button, instead of having to select "Search String" from the "Add Criteria" drop-down list.. most users have no idea what "Search String" is.. this is not the way that Search functions in Outlook or other mail clients..
Leave the "Add Criteria" function available on the Advanced Search pop-up dialogue, but under a field where you can directly enter a "Search String".

Thank you for bringing Advanced Search back in SmarterMail 16, but now please work to improve its usability and speed as this is just as important.

WHEN is global search being reinstated? Why on earth would you remove an incredibly useful, no a necessary feature??????????

Stefan - you should be able to double click on a message to open it in a new window. What browser/OS are you using? I tested on Chrome 60 on MacOS and Windows 10, Firefox 55 on MacOS and Windows 10 and IE11 on Windows 7. I could double click a returned message and open it just fine...

I tried this with Windows 10 and IE 11. In the search result window a double click is possible to open a mail? Then I should try this one more time. Maybe I've done something wrong...

... I tried once more with Windows 10 and IE 11: You have to double click with the left mouse button but you can't open mails from the search result window neither by working with a tablet nor with the touchpad touch gestures (double click gesture).

Hopefully the option to search for messages that contain attachments will turn up?

Had some infrastructure issues preventing us from upgrading until yesterday. The advanced search feature that has been implemented is Great! It is exactly what we needed, searching for an e-mail without knowing what folder it is in. My users have not noticed it being particularly slow, it is performing as fast as is expected with the knowledge that it is crawling through all your e-mails (and in the case of search string the entire body of all your e-mails). My users are using the latest version of chrome and can successfully double-click on the search results to open the e-mail. We are very happy with it; thank you so much for bringing it back!

Searches will be faster if you know that what you are searching for is in the subject or the e-mail of the to or from and use that instead of search string because search string is looking through the entire body of all of the e-mails. I know that most of the time you do need to be searching for a word or part number that is in the body, but this could help some of the searches.

Not meaning to bog this down as we needed the Advanced Search feature and are glad it`s now implemented, but the search speed is slower than it was on SM15 and much slower than it is in Outlook when searching in all mail items for the same key words. I know you can fine-tune the search, but sometimes you simply do not know who sent you that mail or when, etc - just know 2-3 key words from the mail.

I can see that most people are complaining about the SM16 interface speed, when we are OK with that - but now we are complaining about the Search speed :)

Also, please do not forget about trying to improve the feature`s accessibility by making it more obvious for users where it`s located and by allowing to start searching for a search string directly without having to select anything from the drop-down lists, unless you know you can tune the search.

Ionel,

Good points. SM16 could use a UI / UX expert to tune it up. Start by making it more like v15. :)

For example, there's no reason that Disposable Address (rarely used) should have its own dedicated button, but Advanced Search is hidden away where most users can't find it:

Other UI suggestions include:
Simple stuff to make SM16 more usable.

Great news!  The Advanced Search button has been moved out of the lower left mail menu onto the top menu bar next to the chat and notification icons.  Currently, in SmarterMail 16.3 it is still limited to only searching mail folders.  However, in SmarterMail 17 it be expanded to search all contacts, notes, tasks, etc.  This is available in the latest public minor release out today.

Additionally, SmarterMail 17 will be introducing a much improved indexing system for messages.  This new indexing system will allow the users to select the language they want to use for indexing.  This will help with a variety of languages, including, Japanese, Chinese, and Korean.  The indexing time itself has been reduced and is more efficient.

SmarterMail 17 is a couple months away, and we will be releasing information shortly.  It will be a great release with many anticipated features.

Doing a search on a server will always be slower than a client. An average mail server is doing 1,000's of transactions a second from clients, incoming/outgoing email, spam checks, chats, video conferencing, calendaring and so much more. SmarterMail operates as fast as the hardware can allow. Normally DISK I/O is the biggest bottle neck for a server because of how demanding all these functions are.

If you had a server with one user and no activity and you did a search, it would be just as fast as your client on your desktop/laptop.
