SmarterMail Professional - Relay or Alias
Question asked by Doreen Jones - 8/23/2023 at 12:14 PM

I have a client who is using an email address I set up as a SEND email address.  But they need for various users to be able to send a quote using that address (not their own email) but show that the person sending the quote is the sender.

For example:  Amy@companyxyz.com sends a quote to a customer.  When she uses the quote option in their application - it will send from alert@companyxyz.com but the customer getting the quote will see Amy@companyxyz.com and when they reply to the quote - the quote will go directly to Amy.

And so on for every user.  dan@companyxyz.com, etc.

Note:  Their application allows for only ONE email address to send from.

I'm going in circles trying to figure out how to do this!  All help will be GREATLY appreciated!!

Hello Doreen,

Thanks for reaching out. I don't know anything about the application that your clients are using, but typically how you'd do this is to set the "Reply-To" header within the email content. That way, when the user responds to the email, they will be replying to a specific email address.

Here is an example of how the EML might look with a custom "Reply-To" header:

From: alert@companyxyz.com
To: customer@example.com
Subject: Quote for Your Order
Reply-To: Amy@companyxyz.com
MIME-Version: 1.0
Content-Type: text/plain; charset="utf-8"

Here is the quote you requested...

In this example, the email is sent from alert@companyxyz.com, but the "Reply-To" header is set to Amy@companyxyz.com. When the recipient replies to this email, the response will be directed to Amy's email address.

Please let me know if you have any other questions or need further assistance.

Thanks,

This gives me something to think about.  But what if 10 people are using the application and sending quotes all using the same SEND address (as required by their application), would I put all those 10 names in the Reply-To address?  Wouldn't that mean everyone would get every reply?

Hey Doreen,

Like I said I don't know anything about how your application works. Ideally, you'd be able to set a custom Reply-To for each user within the application. Like you can within webmail on SmarterMail.
