How Long For Indexes?

We had a user delete an email. I know; we're proud of them too! ;)

Seriously, how long does it take? That was the question. We deleted one over an hour ago, and it is not in the search. It had the exact single word (chamber) in the message body, subject, and from so it was perfectly staged on our side. I have gone into the deleted items, and I see the email we deleted as part of our test.

We'll keep trying every hour until it shows or doesn't, but curious how long it really should take so we can give an honest answer to the user.

I do know all indexing we've never changed in years, so it's whatever is the defaults for SmarterMail.

Are you using webmail or MS Outlook (or something else)?

100% webmail. Now 24 hours later and the search still isn't showing "Chamber" even though it's visible and I can see it there. 

I can understand a complex query, but a single word really should work. Is "chamber" a filtered word? What are the filtered words that don't produce any results?

Hey John - something that might be happening here is that user's indexes could be getting locked by an antivirus or backup system that is seeing the indexes change and then running it's own routines. Do you have your antivirus excluded from our files, and does your backup solution leverage VSS (Volume Shadowcopy Services) in Windows?

Yes, antivirus, malware, etc. that allows exceptions always excludes everything SmarterTools. I will have the team re-check but know they have that on their monthly check list that there are no new exclusions (or ones removed).

Sounds good John, always worth double checking! Here is our list of exclusions along with some powershell commands for making sure they're excluded in Windows Defender:
