BUG o Missing features in SmarterMail MAPI that are preventing us to migrate users from Exchange
Problem reported by Gabriele Maoret - SERSIS - 2/10/2021 at 1:06 AM

SmarterTools is doing a huge work in SamrterMail and I think SM it's a great product BUT speaking of MAPI and Outlook support unfortunately there're a list of BUGs and missing features that are preventing us to migrate users from Exchange (and sometimes from Kerio Connect).

A brief list of these BUGs/missing features are:

  • message rules in Outlook aren't sync'ed with SM server, causing malfunctions in the Outlook rules themselves
  • message categoiries in Outlook (aka Color Categories) aren't sync'ed with SM server, causing the loosing of color message categorizations in Outlook
  • Message Follow UP, Reminders and Completion in Outlook are not sync'ed in SM server, causing malfunction or even the loosing of theese setting in the Outlook messages
  • the VIEW setting of Outlook are resetted every time we close and reopen Outlook
These are the main issues, but there're others with less impact.

Questions to SmarterTools:
  1. When these issues will be fixed?

Questions for the other SM customers:
  1. Do you also have a list of blocking BUGs or missing features?
  2. If yes, can you share it with us here?

Kerio requires a specific outlook connector dont they? That uses kerio specific GUI within outlook for managing things like rules?

SM doesnt require and works natively with MAPI, though with a lot of missing things like synchronizing rules...

yeah Echo, i know.
But at least you can do that within Outlook. And it doesn't interfere with Outlook local rules.

However, this is not the worst issue, I think MAYBE we could live with that (using webamail rules as a workaround) and maybe even with the "VIEW" issue for now.
So maybe we can migrate from Kerio (P.S.: removed Kerio from the post title...).

But the message "color categories" issue and the message "FollowUP, Reminder and Completion" issue are a show stopper for us, because many clients are using those functions on Outlook with Exchange, and we can't force them to stop using it...
Unfortunately I have not found a workaround to these two problems, and even if only one user uses them for each Exchange domain, then we are forced not to be able to migrate anything from that Exchange domain...

So, even if SmarterMail with MAPI support is claimed to be the only real Exchange alternative, without these two functions it really isn't and hence we can't use it instead of Exchange...

Yes, the view issue is a problem for us as well, we've had quite a few users report it to us. There is a thread about this, so ST is aware of it. Hope they can fix it soon.

OK, but don't you have anyone complaining about the other two issues I mentioned earlier (COLOR CATEGORIES and REMINDER & COMPLETION)?

By chance, do you have a solution?

So far in our environment, the biggest complaint is the lack of rule syncing followed by the view issue. Nothing else has really came up.

We too have complaints about the color categories and flags with reminders/complete status, but the most vocal ones are about the view settings not sticking. The thing is is that the behavior is also different, so the view problem is more noticeable:
- Some view settings reset after closing/reopening Outlook and others randomly; not sure when. So this is frustrating on a daily basis for those that absolutely have to have Calendar in Weekly view, etc.
- Color Categories and Flags actually work in Outlook via MAPI with SM and we use them. From what we`ve seen, these get reset when an account is deleted/re-synced (either manually or sometimes after a server update). At the re-sync, all colors, competed states, reminders are removed and only a simple flag remains. However, often times the situations for which an email was flagged has been solved, so people do not notice the missing statuses. Which is why they are not as vocal about this issue.

Of course, we would like to have these all fixed to remove the frustration our users feel.

Color Categories and flags with reminders/complete status also are lost if you use webmail to FLAG a message or to move it between folders. Not only if you resync an account.

This is really frustrating to users that are already used to it in MS Exchange...
