Signature templates with no benefit for users

Hello together

As a domain administrator, when multiple signatures are created in general, the user can only select the default signature set or create one himself. He has no possibility to choose from the other signatures prepared by the domain administrator.

I do not find this optimal. The user should have the possibility to choose from different templates, when they can already be created.

Hi Roger,

Domain Administrators have the ability to create multiple signatures so they are able to enforce signatures for the various aliases and domain aliases that may be available. 

At this time, signatures aren't designed to allow users to select any option from the Domain Signatures. However, we will certainly submit a request on your behalf. I imagine, if implemented, the signatures at the domain level would need a new toggle available that would allow users to select them. And this would only be applicable if the users on the domain (or sending from the alias) are given permission to override the domain's selection.

That sounds like a great idea. I've been thinking about this again and I think in some cases the administrator may want to prepare various signature templates for events, Christmas, company vacations, webinars etc and then be able to change them easily without giving the user the opportunity to see this templates or switch between them.

From this point of view I agree with you that there needs to be a logic in the signatures of the domain administrator that makes a signature selectable for the user or not selectable and only for certain purposes then enforced.

And yes it is also correct that if the domain admin says that a signature may not be overwritten by the users, that this then of course excludes the choice of the users. I am curious. I'll go a bit further and say that you can assign a signature to a group (if groups are existing) and depending on which group the user is in, the signature released for it will be displayed enforced (not changeable by the user) or he has the few signatures available that are intended for his group only.

With this you could probably cover equal situations very comfortable, what do you think? From my point of view this would be an awesome feature.

I can see the utility in such a setup. The difficulty with building that system is that users can belong to multiple groups. For example, someone could be in Administration and Operations. How would you envision the signature being assigned in such a scenario?

Yes that is correct. If a user is a member of multiple groups, all associated signatures of the assigned groups will be made available to the user. 

Now if a signature policy has the forcier mode, then it has priority, meaning it will then be assigned the signature even if it has multiple ones.

What do you think about this? Would be a solution way.

I believe some addition to the domain signatures would significantly improve email signature management for both administrators and individual users: greater flexibility in choosing domain signature defaults.

Currently, SmarterMail allows creating multiple signature templates for a domain, with one assigned as the "default" for all users. This is fantastic for creating a consistent brand identity. However, the limitation becomes apparent when users require specific variations beyond the basic default.

Let's consider a real-world example:

  • Template 1: The standard company signature with logo, contact information, and profile data elements. (Currently the domain default)
  • Template 2: Extends Template 1 with a booking link generated using profile data, allowing recipients to schedule meetings with the sender.
  • Template 3: Builds on Template 2 by adding the sender's profile picture.
Many users might prefer one of these enriched templates as their default rather than the basic option. Some may want the meeting link for easy scheduling, while others might appreciate the personalized touch of the profile picture.

Here's the current drawback: Neither users nor administrators can assign these alternative templates as their personal defaults. The users only option is to create a new custom signatures in their own account, which is less centralized and breaks the branding consistency.  Especially if the brand needs to change something such as a small logo change, or another real world example the Twitter "X" changes.

Therefore, I propose two potential solutions:

  1. User-selectable Domain Signature Defaults: Allow users to choose any available domain signature template as their personal default in their account settings. This would empower users to personalize their emails without compromising brand unity.
  2. Template-based Group Defaults: Building on Roger's suggestion above, let administrators assign specific domain signature templates as the default for groups. This aligns perfectly with real-world teams that benefit from dedicated features like meeting links or profile pictures in their signatures.
I believe these enhancements would greatly improve the usability and flexibility of domain signatures in SmarterMail. They would empower users without sacrificing brand consistency, and give administrators more control over group-specific communication needs.

Please share your thoughts and suggestions on these proposals! Let's work together to make SmarterMail's signature system even better for everyone.

Thanks for your input. I think your request can be implemented with my suggestion, as well as other points that are close to my heart, because the signature function in its current form unfortunately often causes difficulties in everyday use.
