Message archive access permissions
Question asked by Matthew Titley - 1/19/2021 at 9:09 AM

Hi all, I'm on 7611. Customer called asking about message archiving. At the moment they have three managers with access to the message archive for their domain. Owner would like to have managers have access to create/edit/manage email accounts but disallow their access to the email archive. I don't see any way to do this. If there isn't this granularity there should be. Does anyone know of a way to pull this off in the software as it is now?

Thanks,

Matt

Hello,

Thank you for creating the support ticket in conjunction with this community post. I have replied to your case and wanted to post here as well I am escalating this as a feature request to have more micro control over who on a domain can access the domain level archives.

Currently there are only two options

System level access to all archives
Domain level access to domain specific archives.

Thank you

Hello ST support and community.

I know it's only been three months since my last request but there is no indication whether ST is working on this. One customer has directed me to find a better archiving solution immediately for his company. The archiving in SmarterMail works well but the permissions are woefully inadequate. At the very minimum, there should be a check box or slider granting or disallowing any particular domain admin access to the archive. I can't imagine that the software coding involved is very complicated. Merely because no one has been responsive to repeated requests, for years, for a minor modification, my client has to shoulder the expense of a multi-thousand dollar project to buy either GFI Archiver, MailStore, ArcTitan, et. al.

Again, granting someone the rights for basic management such as creating a new email address or alias shouldn't also include (automatically without any option) access to the email archive of a company!

Just as an example of what I'm talking about, I downloaded a demo version of MailStore. Right off the bat, there is a section labeled "Compliance" that addresses the EXACT issue I'm talking about. It isn't arcane or unusual. See the attached screen shot. So, it might be too late for this one customer even if ST were to implement this in the near future, but it is a very good idea to offer greater permissions granularity to certain domain admin privileges.

I know that SmarterMail is not a Mail Archive solution, if it's possible this would be a good addition

This is one reason why we cannot actually use this very very useful archiving feature. If access rights for administrators would be implemented, then we could finally start using this.

Not to mention that it would be a great idea to also have the option for all users to search the archive for one of their emails, but I think that would be too far off. For now, limiting admin user access to the archive would be an extremely useful feature.
