SmarterMail: Client claims deleted mail is automatically being removed

I have a client on the latest version of Smartermail.   She uses Outlook to interact with her one smartermail box.    They have other users in their office using other boxes, all on individual Outlooks installs.

She is claiming that when she deletes a mail in Outlook,  if will only stay in her deleted items folder for 7 days, and then is permanently removed.  This is reflected in smartermail webmail panel also.    

No one else in her office has this issue.  If something is marked deleted in their Outlook, it sits in their for months without being permanently deleted.

Her Microsoft installer is telling her this is a problem with her mail software platform, Smartermail.   We have no rules setup for her domain or her account that would be auto-archiving or auto-folder clean in these two places:

Is there something else we are missing? Or is this an Outlook issue.

Hi Stephen, does she have her account installed on a iPhone / iPad?
Usually that devices has got an option to delete all the messages after 7 days.

This was a case of the client not only using Outlook, but also webmail, AND iPhone  to access their mailbox in Smartmail.   All were IMAP, and since the iPhone had a settings slider for "remove deleted mail after:  7 days"    it was removing this each time she checked her mail on the iPhone, and then imap made sure everywhere else did that same.

glad to help you. It had happened the same things to some of our clients.
BTW, I've suggested to every client to NOT use the "deleted items" folder as an archive.

 OK,  that is interesting.  In this case,  what settings would you suggest?  Or, what do others consider best practice?    We currently provide unlimited storage for our client mail, and advise them never to get rid of mail permanently, as a benefit to them.

Here is how I currently recommend setup for them,   on an iPhone:



I'm not a mail expert or SmarterMail expert.  If we want clients to be able to keep all mail going backward, making it all searchable, what would be a better setup?

Hi Stephen,

I would just tell to the clients that if they want to archive something, just use a folder created by themselves.
If you throw something in your trash bin, it'd be emptied sooner or later, that's the same about deleted items.
Gmail does the same, it deletes all the messages older than 30 days by default.
It's not something about SmarterMail, it's sth about clients' mind
