Copy Mail Sent To or From a Mailbox

This article applies to recent versions of SmarterMail. View articles for SmarterMail 15.x and earlier.

Using the events system, the system administrator can blind carbon copy (BCC) a user's sent and received messages to another email account. This ability is useful for both archiving and monitoring purposes.

Copying Received Mail
Follow these steps to automatically BCC all of a user's received messages:

  1. Log in to SmarterMail as the system administrator.
  2. In the Settings tree click Events.
  3. Click New In the content pane toolbar.
  4. In the Event Name field, type the name of the event.
  5. In the Event Category field, select Email.
  6. In the Event Type field, select Message Received.
  7. On the Conditions card, click on New Condition.
  8. Select To Address and type the user's email address in the corresponding field.
  9. Click Save.
  10. On the Actions card, click on New Action.
  11. Select Add Recipient from the list of actions.
  12. In the Maximum Frequency field, select None.
  13. In the Recipient field, type the email address to which messages should be forwarded.
  14. Click Save.
  15. Click Save again to save the event.

Copying Sent Mail
Follow these steps to automatically BCC all of a user's sent messages:

  1. Log in to SmarterMail as the system administrator.
  2. In the Settings tree click Events.

  5. In the Event Category field, select Email.
  6. In the Event Type field, select Message Sent.
  7. On the Conditions card, click on New Condition
  8. Select From Address and type the user's email address in the corresponding field.
  9. Click Save.
  10. On the Actions card, click on New Action.
  11. Select Add Recipient from the list of actions.
  12. In the Maximum Frequency field, select None.
  13. In the Recipient field, type the email address to which messages should be forwarded.
  14. Click Save.
  15. Click Save again to save the event.

how do we do multiple emails at the same time

kw, Do you have emails already in your inbox that you want to copy to someone else? If so, please be aware that this feature will not move historical messages, only new ones that have been sent or received. To copy multiple messages to another account, you can use the forwarding option, then set up this event to copy all future emails as needed.

Hello.. I am facing problem from Instruction #9 above. I cannot change the email address. It is stuck to the administrator email address.

Is there a bug at this stage with version 12.4

That's not expected behavior and I'm not able to replicate this on version 13.3. If you're able to upgrade your installation to version 13.x, I'd try that and see if that resolves this issue. If not, please open a support ticket so the support team can further troubleshoot this for you.

I have upgraded the mailserver to ver 13.3, still i dont get the the option to change the email address. Email address is locked to the logged in user,

Can we add multiple email addresses?
I mean i want to send email to more than one recipient

Yes, you should be able to send to multiple addresses by separating the addresses with a comma or semi-colon.

This is not true. Multiple email address throw error. Tried with both , ; an |

You need to add multiple action of the same type one for each recipient.

Hi I have a SmarterMail Professional 15.4 installed as a local email server. The user account in the SmarterMail is configured to retrieve email from external email hosting by POP retrieval. I am trying to use the email copy function to automatic forward the incoming email to other email address but I couldn't get it to work. I have tried using Forwarding function in User Account Settings and Event function following this guide https://portal.smartertools.com/kb/a2675/copy-mail-sent-to-or-from-a-mailbox.aspx but it is still not forwarding any incoming email.
I noticed that only email sent among the users in SmarterMail domain is forwarded. Incoming email from external sender will not be forwarded.
Is there any settings I missed out in the setup?

Thanks for reaching out! This request is not currently supported within SmarterMail. Only when SmarterMail performs the delivery would the filters or events run. Because there is not a delivery thread for POP retrieval, it would not trigger the actions.
