Mail list - bounce not working
Question asked by Esben Laursen - 1/26/2016 at 1:56 AM
Answered
I am trying to setup a mail list. Everything works fine, but i cant get the bounce handling to work. I have added a email that does not exist to the list. I can see in the delivery log that the mail bounces but the bounce counter in the mailing list does not change. I cant figure out why?

Along with the Counter problem I'm trying to get bounces to go to the list moderator. However I cant find a setting for this and the bounces just disappear.
Any ideas how to handle this?

Matthew,

Mailing List Bounce Thresholds are working for me. Under SETTINGS > DOMAIN SETTINGS > GENERAL SETTINGS click on the MAILING LISTS tab and make sure that "Deletion Bounce Threshold" is Enabled (this *SHOULD* be enabled by default). You can also set the number of bounces before the recipient is automatically removed. Be sure to click on [SAVE] to commit those changes.

Note that if you are using an Outgoing or Incoming Gateway to either Send or Receive email for your SmarterMail server then the Mailing List Bounce function will not work as your Gateway(s) will be handling the Bounces not the SmarterMail server.

As far as where the NDR (Non-Deliverable Response) bounce-back emails go, tbh I can't remember if it is to what is defined in the "List From Address" or the "List Reply To Address" fields, but it is definitely one of those two. You can set these under SETTINGS > DOMAIN SETTINGS > MAILING LISTS.

Scarab,
The problem is I turn on "Deletion Bounce" and my customer goes crazy. She want proof of a NRD. For the life on me I cant find out where they go. I checked the Moderator, List to Address and List Reply to Address and they don't go there.

Any other idea's?

Bounces should return to the list From address. Are there any content filters or spam filters that might be changing the delivery location of the bounce or possibly deleting it? Does the delivery log say anything about a filter that might impact the delivery?

Derek,
Delivery log shows the NRD going to the list address. It looks list this is the bounce counter for the list.
13:11:24 [64054] Starting local delivery to availlist-c900d4987a5d41c4860b64e219bc003f@henrysplantfarm.com

Still have no idea what real email address the NDR is going to so a Human can read it.

Matthew,

First of all, what version of SmarterMail are you running? I've tested this on SM 15.x and it does look like something weird is going on.

Setting the Deletion Bounce Threshold creates a dynamic sending address. In your case, "availlist-c900d4987a5d41c4860b64e219bc003f@henrysplantfarm.com". After X number of bounces, the subscriber should be removed from the mailing list and the bounce returned to the List From Address. If the Deletion Bounce Threshold is disabled, then any bounces should return to the List From Address.

I first set the Deletion Bounce Threshold on my test list and saw the same results as you: messages bounce back to the dynamic address, but nothing came to the List From. I disabled the Deletion Bounce Threshold BUT I see the same results.

Just to be safe, I created an entirely new mailing list after disabling the DBT, but the same issues occur. So...I will have to work through this with the developers to see what's going on.

Thanks, Matthew. So...I was wrong in my assessment.

Bounces will always go to the dynamic address. The way bounces are gathered is in the Subscribers area. If you go to Settings --> Mailing Lists --> Subscribers you'll see a list of all subscribers to all mailing lists. There's also a Bounces column. For most, this should show a "-" but some will show numbers of bounces received. If you click on an email address with a number of bounces, you'll see a Bounces tab. This tells you the day/time the message bounced. You can also see which mailing lists the address is subscribed to and the Message Log tab will show the email subject line for the messages that were sent along with the send dates.

Sorry for the confusion..should have talked to the Developers ahead of time.

Derek,
OK, I know all this, But my customer wants to see the actual NDR. She had ploblems with Bounce Removal feature in the past and doesn't trust it.
It would be nice to see the NDR so we can see why it bounced. Address in gone now. Domain has closed up and gone away, Message is to big, Recipient Spam Filter is rejecting it.... ECT.
If you cant deliver the NDR to the list moderator can you extract the info and put in a summary? Or the Delivery Log? or The bounce Counter for the Mailing list?

Gotcha. The delivery log should show you the response from the receiving server and give an indication for why it rejected the message.

For example, here's what was in the delivery log for one of my tests:

2016.04.19] 16:00:30 [88717] RSP: 550 Requested action not taken: mailbox unavailable
[2016.04.19] 16:00:30 [88717] CMD: QUIT

Derek,
OK, Logs it is. I don't have time to parse logs for the bounce errors every week. I've already wasted to much time on this. Since Smartermail cant deliver the NDR I'm going to tell the customer she has to police the list. I'm betting she will move on and that may be best.

Derek,
Just for my own curiosity I followed a bounce thru the logs and cant find any info on why it bounced.
